What should a party invitation say?

Whichever tone you choose, every party invitation needs the same bones: who, what, when, where, and when to reply.

Name the kind of party in line one

“Game night,” “potluck,” “black-tie NYE”: the first line sets expectations for food, dress and energy. A vague “party at ours” generates five clarifying texts per guest.

Be clear about food and drink

Guests plan dinner around your party. “Dinner served at eight,” “snacks provided, BYOB,” or “bring a side”: one line settles it.

Open-ended or fixed window

Drop-in parties should print the full window: “anytime between 2:00 and 7:00.” Seated dinners need one start time and the courage to enforce it.

Say what to bring, or that it’s nothing

“Bring a snack to share,” “claim your dish when you RSVP,” or “just bring yourselves.” For potlucks, collecting dishes with the RSVP prevents the seven-potato-salad problem.

RSVP by, about a week out

Casual parties need less lead time than weddings. A reply-by date five to seven days ahead is enough to size the food, and reminders can nudge the silent.

Keep planning

Frequently asked questions

Wording etiquette for party invitations, answered plainly.

How far in advance should you send party invitations?
One to three weeks for casual parties; three to four for anything requiring travel, costumes or a sitter. Sooner is not always better. Invitations sent two months out get forgotten. Digital invitations shine here: instant delivery, one-click reminders for the guests who haven't replied, and no guest can claim it got lost.
How do you ask guests to bring something without being awkward?
Ask directly and specifically. Vagueness is what feels awkward. “Bring a side, salad or dessert” beats “bring something if you want.” Better still, collect the dish when guests RSVP, so contributions coordinate themselves and nobody arrives holding the fourth bag of the same chips.
Should a party invitation include an end time?
For open houses and drop-in parties, yes. The window is the format: “anytime between 2:00 and 7:00.” For dinner parties and evening gatherings, an end time is optional and slightly chilly; “until late” signals the vibe without assigning anyone a departure slot.
How do you handle plus-ones for a casual party?
Say the policy on the invitation: “bring a plus-one,” “partners welcome,” or “keeping it small this time.” Silence produces guesses, and guesses produce surprise guests. Asking for plus-one names in the RSVP keeps your head count honest without a single follow-up text.
